POSITION OVERVIEW:

Startec Compression and Process is currently recruiting a Production Coordinator to work at our Shepard Shop Office location (9423 Shepard Road SE, Calgary, AB). The Production Coordinator serves as a key liaison between the shop production floor and corporate support teams, ensuring effective communication, coordination, and administrative support across operations. This role supports daily fabrication activities through production scheduling assistance, payroll and labor administration, reporting, onboarding support, maintenance coordination, and basic estimating functions.

The Production Coordinator works closely with Production Supervisors, Operations, Human Resources, Payroll, Procurement, and Project Teams to support efficient shop operations, workforce coordination, and production execution. The ideal candidate is highly organized, detail oriented, and capable of managing multiple priorities within a fast paced fabrication environment.

KEY PERFORMANCE INDICATORS (KPI):

PRODUCTION COORDINATION & ADMINSTRATION (Weighting 40%)

Production & Operations Coordination
  • Act as a communication link between shop floor personnel and corporate support teams
  • Assist with maintaining production schedules, labor tracking, and resources planning updates
  • Produce and distribute weekly production reports
  • Coordinate meeting requests and maintain shop vacation calendars
  • Track employee attendance, timesheets, and vacation requests
  • Maintain electronic and physical filing systems for production and operational documentation
  • Prepare spreadsheets, reports, and data summaries for management review
  • Provide general administrative support to Operations and Production teams
Office & Administrative Support
  • Maintain office supply inventory and coordinate ordering of office materials
  • Provide general office support including mail distribution, filing, catering coordination, and supply management
  • Maintain office equipment including printers, copiers, and related supplies
  • Process employee expense reports in a timely and accurate manner
  • Support documentation control and record retention requirements

PAYROLL, HR & WORKFORCE ADMINISTRATION (Weighting 30%)

Payroll & Workforce Support
  • Input labor and payroll data from timesheets in Microsoft Dynamics and Navision
  • Create, edit, and run payroll related reports from production floor tracking system
  • Act as a point of contact for payroll inquiries and employee support
  • Support labor tracking and workforce reporting requirements
  • Assist with tracking employee hours and manpower utilization

HR & Onboarding Support

  • Assist with onboarding activities including:
    • Processing new hire documentation and sending to HR/Payroll team
    • Entering employees into the TotalPass system
    • Assigning employee timecards
    • Assign/tracking lockers for new employees
  • Support HR administration and employee record maintenance
  • Assist with maintaining confidential personnel and payroll documentation

PRODUCTION PLANNING & ESTIMATING SUPPORT (Weighting 25%)

Basic Estimating

  • Assist with preparing simple labor and material cost estimates
  • Track material pricing and maintain estimating spreadsheets
  • Gather production data and historical costing information to supporting estimating activities
  • Support Operations and Product teams with administrative estimating functions as required

Production Planning & Maintenance Coordination

  • Assist Production Supervisors with scheduling priorities and workflow coordination
  • Maintain and manage asset lists withing Fiix maintenance software
  • Coordinate preventative maintenance scheduling with Production teams
  • Support tracking of equipment maintenance and operational readiness
  • Assist with production resource planning and scheduling updates

QUALIFICATIONS:

  • Post secondary education in Operations, Manufacturing, Business Administration, or related field is considered an asset
  • Minimum 2-5 years of experience in fast paced manufacturing, fabrication, or production coordination environment
  • Experience with payroll administration and workforce coordination preferred
  • Strong organizational and multitasking skills with the ability to manage changing priorities
  • Excellent communication skills with the ability to work effectively with both shop personnel and office teams
  • Experience with production scheduling and coordination in fabrication environment is preferred
  • Basic estimating or production costing experience is considered an asset
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Experience with ERP system (preferably Navision or Microsoft Dynamics) is considered an asset
  • Knowledge of fabrication, manufacturing, or industrial construction processes is considered an asset
