KEY PERFORMANCE INDICATORS (KPI):
COMMUNICATION & REPORTING (Weighting 50%)
Internal Coordination & Communication
- Coordinate team meetings, record updates, and prepare reports.
- Keep track of project deliverables (including tasks, deadlines, risks, etc.) with information from the project team.
Subvendor/Subcontractor Coordination & Communication
- Coordinate subvendor/subcontractor meetings, record updates, and prepare reports.
- Keep track of subvendor/subcontractor deliverables per the relevant contract or purchase order.
Client Communication
- Support Project Managers in coordinating client meetings.
- Support Project Managers in providing client reports, minutes, and other correspondence.
PROJECT EXECUTION SUPPORT (Weighting 30%)
Project Planning & Monitoring
- Review the relevant contract or purchase order, specifications, and other critical documents to assist in project planning.
- Review proposals and budgeted hours/costs for tasks/materials/equipment to understand the scope of work and expected execution strategy.
- Support Project Managers in creation and upkeep of schedules, procurement plans, resource allocation, and other project tools.
Change Management
- Review project progress against the project plan with the project team to identify changes and trends.
- Gather information and estimates to produce change management documentation.
FINANCIAL & DOCUMENTATION OVERSIGHT (Weighting 20%)
Project Documentation
- Collaborate with Document Control and Engineering to ensure documentation workflows internally, with subvendors/subcontractors, and with clients are set up and followed as required for the project execution (may vary depending on Startec and client processes).
- Maintain accurate and up-to-date project documentation and correspondence, ensuring all project documentation is properly archived and accessible for future reference.
Cost Control
- Monitor project budgets and costs to ensure financial targets are met, reporting variances and supporting forecasting.
- Update internal dashboards and reports to highlight progress, risks, and other key trends.
- Review invoices for accuracy, referencing purchase order deliverables (milestones, hold points, etc.), and collaborate with Accounts Payable and Receiving to minimize aged payables and receivables.
QUALIFICATIONS:
- Project Management Certification (PMP) and/or related university degree combined with relevant industry and project experience.
- Excellent communication skills that promote long-term mutually beneficial relationships with all stakeholders.
- Relevant technical training and experience (e.g., engineering, design, fabrication, construction) is an asset.
- Expertise in MS Office (Word, Excel, Project, PowerPoint) is required.
- Working knowledge of Primavera (P6) and/or MS Project is an asset.
- Power BI experience is an asset.
